Welcome to VCIP 2017!

Welcome to the VCIP 2017 at St. Petersburg, Florida on Dec. 10-13, 2017! In VCIP 2017, we have prepared a rich and polished technical program that includes prestigious keynote speeches, excellent technical programs with high quality conference papers, exciting demos, and free tutorials! We will also host an inclusive welcome reception, a grand banquet, and an award ceremony night for everyone who has registered for the conference with a Non Student Registration rate.

This exciting event sincerely welcomes everyone in the field to join the nearly 200 experts and researchers from all around the world to foster conversation and collaboration. VCIP 2017 Registration Policy

Please read through the ENTIRE VCIP 2017 Registration Policy before starting the VCIP 2017 registration as different registrations have different rules and benefits.

Anyone who wishes to attend any event of VCIP 2017, including tutorials, main conference technical sessions, and keynote talks must register to attend. There are two types of registrations available for the attendees.

1. Author Registration: This type of registration covers the Paper Submission, and also allows the registrant to attend all events of VCIP 2017 from Dec. 10-13, 2017, including all tutorials, main conference, welcome reception & banquet, and one electronic copy of conference proceeding.

2. Non-Author Registration:
  • IEEE Member Registration includes: Proceeding, Tutorial, Main Conference, Welcome Reception & Banquet.
  • IEEE Life Member Registration includes: Proceeding, Tutorial, Main Conference, Welcome Reception & Banquet. It does not cover Paper Submission.
  • Student Registration includes: Proceeding, Tutorial, Main Conference, and Welcome Reception only. It does not cover Paper Submission.
  • Other Conference Registration includes: Proceeding, Tutorial, Main Conference, Welcome Reception & Banquet.

Paper Registration for Main Conference/Demo.

1. Author Registration Policy. Each accepted main conference paper or demo paper must have at least one author registered according to the following policy at a non-student and non-life-member rate by Saturday, Sep. 30, 2017, in order for the paper to be included in the electronic copy of conference proceedings distributed at the conference, and in the online conference proceeding in IEEE Xplorer database. 

Each non-student and non-life-member Conference Registration can cover up to TWO papers of any kind (i.e., main conference papers or demo papers) from the same author. For example, one such Conference Registration can cover: 2 main conference papers; or 1 main conference paper and 1 demo paper. Note that a demo paper associated with a regular paper from the same author will be considered to be already covered by the corresponding accepted paper.

2. Author No Show Policy. One of the co-authors of an accepted paper/demo must report to the session chair before the respective session starts according to the schedule published, and present the paper/demo in person at the conference site. Under extraordinary unplanned circumstances, a qualified substitute may present on the authors’ behalf, with the technical program chairs’ permission. Any paper accepted into the technical program, but not presented on-site will be automatically withdrawn from the conference and the proceedings. IEEE further reserves the right to exclude a paper from distribution after the conference (e.g. removal from IEEE Xplore) if the paper is not presented at the conference.

Please note that:

  1. No hard copy of the conference proceeding will be produced. One electronic copy of the conference proceeding will be delivered on site to each registrant.
  2. Tutorials are FREE to all registrants.
  3. You must be an IEEE member at the time of registration to receive the IEEE member rate. To join IEEE, please visit http://www.ieee.org/membership_services/membership/join/index.html.
  4. Student registration needs to have a valid Student ID from an accredited university or institute to qualify. Student ID is also verified at conference when picking up the registration material.
  5. The Welcome Reception on December 10, 2017 (Sunday) is included for all registrants. Guest reception tickets can be purchased as additional items.
  6. The Banquet on December 12, 2017 (Tuesday) is included for main conference non-student registration. Additional Banquet tickets can be purchased as additional items.
  7. Registrations are all done online in USD by IEEE no matter in advance or at conference, please have an accepted credit card ready for registration.
  8. For the registration by the wire transfer, 20 USD service fee will be added to the registration for each wire transfer transaction.
  9. Only IEEE pdf receipt (early bird and advance) or printed receipt (onsite) in USD will be available to registrants.

Cancellation/Refund/Transfer Policy

General Attendees
Cancellations/refund request should be made in writing to vcipreg@ieee.org. Cancellations will be subject to a US$120 cancellation fee before November 10, 2017. No Refunds will be made after November 10, 2017.

Author Refund
At least one author of an accepted paper must register at a non-student and non-life-member rate per the paper registration policy above in order for paper to be included in the conference proceeding. If complete payment is not received by the author registration deadline September 30, 2017, the paper will be pulled out from the publications in VCIP 2017. Author registration is Non-Refundable.

Registration Transfer 
Author Registration can be only transferred to another co-author under special circumstances. Registration of general attendees can only be transferred to another person with written notice. All transfer requests must be made in writing to vcipreg@ieee.org.

Registration package can only be picked up on site by the registrant in person, or by an authorized person specified in writing to vcipreg@ieee.org.

Visa Invitation Letter 
Visa Invitation Letters will be issued only to registrants whose registration fee has been paid in full. It is the registrant’s own responsibility to check with his/her local USA Embassy or Consulate for all the required material to obtain a visa for VCIP 2017. No Refunds will be made after November 10, 2017 even if you cannot obtain a visa to enter USA. After your registration is completed and payment paid in full, you will receive an email with the link to the Visa Invitation Letter. Note that if you request a refund after a VISA letter is issued, the proper authorities will be notified that you no longer intend to attend this conference.
