Camera Ready

Once the paper has been accepted, the authors should prepare the final document as follows:
  • Arrange the source document as required in the reviewers' comments, if any, in order to improve the quality of the paper.
  • Add the names of the authors and their affiliation, as shown in PDF, Word or LaTeX.
  • Add the copyright notice to the bottom of the first page of your source document as shown in the Copyright Notice below.
  • Proofread your source document thoroughly to confirm that it will require no revision.
  • Ensure that the camera ready submission comply with the latest requirements for IEEE Xplore®. This is done by uploading into the IEEE PDF eXpress™ site as follows:
        First-time users of PDF eXpress:
    1. Select the New Users - Click Here link.
    2. Enter: 41323X for the Conference ID, your email address and a password.
    3. Continue to enter information as prompted.
                An Online confirmation will be displayed and an email confirmation will be sent verifying your account setup.
        Previous users of PDF eXpress:
        Use the same steps as above, but enter the password that was used for previous conferences. Verify that  
        the contact information is valid.

  • After uploading the pdf, the site will send a copy of the received document with all the necessary modifications to comply with IEEE Xplore®. Submit this file through Microsoft CMT.
         Note: The PDF eXpress service for IEEE VCIP 2016 will open on 25 August 2015.
         The Publications Support Center can be accessed for further support on PDF eXpress.

Copyright Form

A signed copy of the Copyright Form (PDF) must also be uploaded, for each paper (not per author), before the deadline. At least one of the authors must also register at the full rate before the registration deadline. If the authors fail to register or submit the copyright form, before the deadline, their paper will be automatically withdrawn from the conference proceedings and program.

Note: Accepted papers MUST be presented at the conference by one of the authors, or by a qualified surrogate, if none of the authors are able to attend. Failure to do so will result in the exclusion of the paper from the conference proceedings submitted in the IEEE Xplore® package.

Copyright Notice

The appropriate copyright clearance code notice is to appear on the bottom of the first page of each paper according to the guidelines set forth in the Cataloguing/Copyright instructions for an IEEE Conference Proceeding.

  • For papers in which all authors are employed by the US government, the copyright notice is: U.S. Government work not protected by U.S. copyright.
  • For papers in which all authors are employed by a Crown government (UK, Canada, and Australia), the copyright notice is:978-1-5386-0462-5/17/$31.00 ©2017 Crown.
  • For papers in which all authors are employed by the European Union, the copyright notice is: 978-1-5386-0462-5/17/$31.00©2017 European Union.
  • For all other papers the copyright notice is: 978-1-5386-0462-5/17/$31.00 ©2017 IEEE.
